Translation providers

Machine translation of controlled documents uses an external provider. An organization administrator configures the provider once, under Organization → Integrations, and can set a monthly consumption limit and review how much has been used.

Who this is for

Administrators configure the provider and see the consumption dashboard. Only administrators can open the Integrations tab.

Configure a provider

  1. Open Organization → Integrations.
  2. Choose a Provider. DeepL is available today; other providers appear as "coming soon" until they are supported.
  3. Paste the provider API key. The key is stored securely and is never shown again; the screen only displays a masked hint (for example ••••a1b2). Enter a new key to replace it, or use Remove key to clear it.
  4. Optionally set an API URL override. Leave it empty to use the provider's default endpoint.
  5. Set a Monthly limit if you want a hard cap on characters translated per month. Leave it empty for no limit.
  6. Choose Test connection to check the key against the provider, or Save to store the settings.

The key never leaves the server. The app screens read a masked status through an administrator-only path, so no browser session can retrieve the raw key.

Monthly limit

The monthly limit is a hard cap on billed characters. Before each translation, the app checks this month's usage; if the document would push usage over the limit, the translation is refused and the person is told the limit has been reached.

DeepL bills a minimum of 50,000 characters per document, so the check reserves that amount for the pending document. Because the exact bill is only known after translating, a single document can exceed the limit by at most its actual billed amount over that reserved minimum.

Consumption dashboard

The Consumption section shows, for the current month:

  • Used this month the total characters billed by the provider.
  • Monthly limit the cap you set (or "No limit").
  • Remaining how many characters are left before the cap.

Below the totals is a list of recent translations with their language pair and character counts. Test connection also shows your provider account's own usage where the provider reports it.

What the person translating sees

On a controlled document, the Translate file with AI action shows which provider is active (for example "Translated by DeepL"). When no provider or key is configured, the action is disabled and links here. When the monthly limit is reached, the action reports it. See Machine translation.
