Supervisors and line leads
Each worker profile has two supervisor slots - a foreman (manager_id) and a line lead (line_lead_id). Setting these links the worker to the right person for team reporting and the weekly training status digest.
Administrators - Quality Admin, HR Admin, and Corporate Admin.
The two supervisor roles
| Field | Also called | Purpose |
|---|---|---|
| Foreman | Direct supervisor, manager | Primary reporting line. Team Leads with this link see the worker in their team view and receive the weekly digest about them. |
| Line lead | Secondary supervisor | Secondary reporting line. Team Leads with this link also see the worker and receive the digest. A worker can have both a foreman and a line lead. |
A Team Lead must be set as either foreman or line lead on a worker's profile before that worker appears in the Team Lead's view. The scoping is enforced at the database level - a Team Lead cannot see workers not linked to them, regardless of department or location.
Setting a supervisor at account creation
When you invite an email user or create an emailless employee, the creation dialog includes foreman and line lead dropdowns for emailless employees. Set these at creation when you know who the worker reports to.
Updating supervisors on an existing user
- Go to Users and click the person's row.
- In the edit panel, scroll to the Foreman and Line lead fields.
- Select the appropriate person from each dropdown. The list contains all users with the Team Lead role.
- Click Save.
The change takes effect immediately. The selected Team Lead will see this worker in their team view and in any reports or digest emails from that point on.
What supervisors can see
Once the link is set, the Team Lead gains visibility of that worker's training status:
- Team view in the sidebar shows each linked worker's training completion, overdue count, and last activity.
- Reports page (for Team Leads with access) shows assignment status broken down by person.
- Weekly digest email (if configured by your operator) lists overdue and due-soon trainings for each linked worker.
The weekly supervisor digest is sent by a scheduled job that your system operator configures. If Team Leads are not receiving emails, check with your operator that the supervisor report scan is enabled and that the Team Lead's email address is verified. Emailless users (including emailless Team Leads) do not receive digest emails.
Removing a supervisor link
- Go to Users and open the worker's edit panel.
- Set the Foreman or Line lead field to None.
- Click Save.
The Team Lead loses visibility of that worker from the next page load.
One worker, two supervisors
A worker can have both a foreman and a line lead at the same time. Both supervisors see the worker in their team view and receive the digest independently. This is useful in matrix-organisation environments where a worker has a direct line manager and a separate technical or functional lead.
Supervisor assignment rules
You can also link a supervisor to a group of workers automatically through assignment rules. The foreman and line lead fields on an assignment rule target all workers who match the rule's location, department, or attribute dimensions. See Assignment rules and matrix for how to set this up.
