Users & access

Manage every person who uses Better Comply. From here you can invite email-based staff, create shop-floor employees who log in with an employee number and PIN, assign roles, and configure the attributes that drive automatic training assignments.

Who this is for

Administrators - Quality Admin, HR Admin, and Corporate Admin.

The Users page

Navigate to Users in the sidebar to reach the users management area. The page has three tabs.

Users tab

The default view lists every person who has accepted their invitation or been created directly. Each row shows:

RoleThe role assigned to this person - Quality Admin, HR Admin, Team Lead, or Employee

Use the search box and the filter dropdowns (Role, Department, Location, Status) to narrow the list.

Invitations tab

Shows pending email invitations that have not yet been accepted. Invitations are created from the Invite / Create dialog (see Inviting email users).

Groups tab

Lists your organisation's groups, which you can use to scope assignment rules.

Two kinds of user

Better Comply supports two account types.

Email-based users

Standard accounts that receive an invitation email, set their own password, and log in with email and password. Suitable for office workers, supervisors, quality managers, and anyone who has a corporate email address.

Emailless employees

Shop-floor workers who may not have a corporate email are created directly with an employee number and a PIN. They log in at a shared kiosk using their employee number and PIN only - no email or browser setup required.

Every emailless account still has a real, stable identity in the system. Evidence is fully attributable for 21 CFR Part 11 purposes because each person has a unique ID that links their training records and e-signatures. An internal non-deliverable address is used as the underlying login mechanism, but it is never visible in the UI or surfaced to auditors.

Editing a user

Click any row in the Users table to open the edit panel. From there you can change a person's name, department, location, and matrix attributes (plant, line, workstation, activity), as well as their foreman and line lead.

Roles are stored separately

A user's role is stored in a dedicated system table, separate from their profile. It cannot be changed from the standard edit panel - see Roles and permissions for how role assignment works.

Attribute changes trigger assignment recompute

When you save changes to a user's department, location, or matrix attributes, Better Comply immediately re-evaluates which assignment rules apply to that person and creates any new training assignments. See Assignment attributes for details.
