Export evidence for an inspection

This page shows you how to pull the compliance evidence an inspector or internal auditor asks for, and where each kind of evidence lives.

Export the compliance status report

The fastest "show me your training records" export is on the Audit page, Compliance tab.

  1. Open Audit.
  2. Stay on the Compliance tab.
  3. Narrow the records with the search, department, location, training, and status filters until they match what the inspector asked for.
  4. Click CSV or PDF at the top of the page.

The CSV is for spreadsheets and follow-up analysis. The PDF is a dated report you can hand over or file.

The export reflects your current filters

The export contains exactly the rows currently shown by your filters. Set the filters first, then export, so the file matches the scope the inspector requested.

Export the activity log

For a "who approved what, and when" record, use the Activity log tab and read or filter it as described in Read the audit log. The activity log is the append-only event record; the compliance report is the per-assignment status view.

Where each kind of evidence lives

An inspection usually asks for several different artefacts. Here is where each one is in Better Comply.

Evidence is immutable

Completions, signatures, document approvals and acknowledgements are append-only and cannot be edited after the fact, the same way the audit log is. What you export is what was recorded at the time, which is exactly what makes it defensible. See Read the audit log.

Prepare for the conversation, not just the file

The exports give you the records. The reasoning behind why those records satisfy ISO 9001 and 21 CFR Part 11 (e-signatures, immutability, segregation of duties, retention) is explained in the Compliance and audit-readiness area. Read it before an inspection so you can answer the "why is this sufficient" questions, not just the "show me" ones.
